1. Call ahead.
While most vehicle shippers offer 24-hour turnaround as well as expedited shipping for last-minute requests, as you can imagine, those services are offered at a premium. Channel your inner Boy Scout and be prepared.
If you can schedule your vehicle move two to three weeks or more in advance, you allow the company to plan their loads and routes, as well as lining up their drivers, rigs, and equipment. Plus, it gives you some breathing room to know that it’s handled so you can deal with other more pressing details.
2. But only after you have a firm schedule.
We all know how plans can change. The best laid plans of mice and man, as the old adage goes, can often go awry. So we expect the best, but prepare for the worst.
In this case, if you can schedule your vehicle move in advance and not have to change dates, or pick-up and drop-off locations, at the last minute – or worse, in transit – then you will benefit from the best-available rates without incurring additional surcharges.

4. Follow your vehicle shipment partner’s Pre-Ship Checklist.
You can review ours to get an idea of what will be expected prior to shipment as well as upon receipt of your vehicle. This involves tasks like cleaning your car inside and out.
This is an industry-wide practice for two reasons:
- To ensure that nothing can shift during shipment and cause damage
- To enable a thorough pre- and post-shipment vehicle inspection for insurance reasons
Of course, this means you will need to remove any non-standard items like car seats, roof racks, bike racks, antennas, and so on.
5. Schedule yourself or a designee to be available for pick-up and drop-off.
As mentioned, we do a vehicle inspection before and after every shipment. This process is similar to when you rent a vehicle, or even an apartment.
Both parties to the transaction complete a walk-through, or walk-around, and note any pre-existing scratches, dents, dings, and other damage. That way, if the unexpected should happen during the term of the shipment, or rental in the case of an apartment or rent-a-car, there exists documentation for both parties and their insurance carriers.
You, or someone you designate, will need to be available at pick-up and drop-off, before and after your vehicle shipment, to conduct this inspection. You will then sign the bill of lading to indicate any pre-existing damage that you noted during your walk-around. Then, you’ll receive a copy of the bill of lading as part of your auto transport paperwork.
